Introduction

A report may be written for a superior (e.g. a boss or college principal) or a peer group (e.g. club members or colleagues). The content of a report is to some extent factual and draws on the prompt material, but there will be scope for candidates to make use of their own ideas and experience. Candidates will be asked to do more than describe a situation; they may be asked to evaluate to what extent a particular aim has been achieved, or to suggest an alternative course of action.

from: Cambridge English Advanced Handbook for Teachers

Reports are easier than they seem

Writing a good report is really not that difficult. As in every writing task in CAE, there are very clear criteria that give you orientation and a framework which you can use to achieve success.

All report tasks usually share certain characteristics so they are pretty similar, which means for you that you can practise and learn to recognise these typical features. This way, you can become better very quickly and writing reports turns into an easy task for you.

So, this article talks about these commonalities, the structure you should follow when writing a report as well as useful language and typical mistakes to avoid if you want to get great marks. With all this in mind, let’s get right into it.

What a typical report task looks like

As I said before, report tasks always look very similar. Of course, the topics and exact things to include change from exam to exam, but generally speaking, there are many features shared in all those tasks and we are going to look at what they look like and how you can exploit and use them to your advantage.

When you see a task and you get ready to analyse it, always remember to look for these specific points:

You should read the task very carefully and underline keywords which give you the answers to the questions above. Here is what this could look like:

You can see the coloured parts that give you the answer to our three crucial questions. First of all, the topic of your report is about your new job (red). Obviously, knowing what you are going to write about is the most important thing.

Secondly, we need to analyse what exactly we have to write about and the main points we have to include in our report. In this example, there are three main points (blue):

There are always three main topic points for you to deal with in a report so you can make a mental note of this.

Last but not least, we need to find out who is going to read your report (green). Here, you are writing to your manager who is a superior. You might ask yourself why this is important, but this tells you what the most appropriate register (formal, neutral, informal) to use is.

In our case, we should use formal English as we are basically writing to our boss. In formal English, you shouldn’t use any contractions (I’m –> I am), colloquial expressions or informal phrasal verbs and idioms. Please keep in mind that your use of register is part of your marks so be careful with it and make sure to do it the right way.

How to organise your report

Once you’ve figured out what the topic of your report is, what exactly you have to include and what the most appropriate register and tone is, it is time to think about how to organise your report. Just like in the previous section you can structure every report in the same way. Of course, there is always room for interpretation, but what I’m going to tell you in this article has helped many students get the marks they want, so give me a chance. 🙂

I hope you remember that there are three main topic points that need to be included in our report.

Each of these topic points deserves its own paragraph which gets us to three paragraphs so far. You should also include a title and an introduction to state the purpose of your report as well as a final paragraph to conclude the report and make recommendations based on the main points. All in all, that leaves us with five paragraphs:

To round things off, give each section a heading to make it easier for the reader to find specific ideas in your report and you are good to go.

Please note that this structure works for every report task in C1 Advanced. Obviously, the topic and three main paragraphs change depending on the exam question, but if you simply replace sections 2-4 with whatever you are asked to write about in the test, you should be on the safe side.

Always make a plan

One of the biggest mistakes I encounter is that students look at the task and then start to write their report straight away. Halfway through the task, they realise that their text isn’t structured logically, they panic and change everything just to run out of time.

Please don’t make the same mistake. Setting up a plan takes you 3-5 minutes, but it can save you a lot more because you know exactly what you want to include in your text and you can stay calm and relaxed.

Simply use the list we made earlier and add a couple of keywords to each section as an anchor for you in case you forget some of the details you want to write about. That’s it.

The different parts of a report

Looking back at our example exam task from earlier, we are now going to have a look at the different parts of a C1 Advanced report. I’m going to show you how to write good introductions, topic paragraphs and conclusions in order for you to see where you can collect more marks than most other candidates.

Title/Introduction

A report is a factual piece of writing meaning it doesn’t have to sound very sensational, but it should be clearly structured and rather descriptive and evaluating.

It is very important that your introduction makes it clear what the purpose of the report is and what you are going to write about. Try not to simply copy the wording from the task, but instead paraphrase and use your own words to show the examiner that you fully understand what is expected from you.

Some good phrases to start your report include the following:

A possible example introduction might look something like this:

Six-month progress report

The purpose of this report is to eveluate the progress following the first half year in my current position as an English Teacher as well as to make suggestions for professional development measures in the coming months and years.

You see that I haven’t done anything revolutionary. Choose a simple title and sub-heading and just be clear about what you are trying to achieve with your report and you’re ready to move to the next part.

Topic paragraphs

In a report, the topic paragraphs are the parts with the most content. Here, you work on the main points in the task. Again, you don’t need to make it sound sensational as you are not trying to write a story or review, but you are describing and evaluating your job situation.

Similarly to the introduction, you want to use headings for each of these three paragraphs in order to make it easier for the reader to follow and to better understand your report.

Throughout the first six months of my employment here at XYZ School I have made important strides in my professional development by incorporating several new methods such as the task-based approach in my daily teaching practice, which has improved my students’ experience tremendously. Apart from my personal progress, numerous students have achieved their goals and advanced to higher education providers under my guidance.

Despite all of this I am still struggling with the organisation of our internal exams as there does not seem to exist a policy and students have expressed their displeasure with other groups at the same level receiving easier or more difficult questions in their tests. Additionally, my mentor has not always been available even though a certain level of guidance in specific areas, for example developing my own teaching materials, is still required.

Future training opportunities

Considering all of the above, two main areas of possible improvements can be identified. Firstly, student and teacher satisfaction could be increased by establishing a resource bank for tests and exams and by training all the teachers to use them so as to ensure a consistent experience for our students. Secondly, regular meetings with a mentor should be mandatory in order to provide guidance and to help teachers become independent and confident with teaching materials.

Looking at my topic paragraphs, you can see that I use formal language throughout, some passive structures (e.g. “a certain level of guidance … is still required”, “possible improvements can be identified”) to make the report a little bit more impersonal (even though this task is about my personal experience at work) and I only focus on the task without including anything that is unnecessary.

Conclusion/Recommendation

Last but not least, we need one last short paragraph to wrap up our report. What you write in your conclusion depends on the things you mentioned in the main section and the exact requirements in the task. Most of the time, you have to make a recommendation so it is important to use some persuasive language (after all, you want the person who reads your report to do follow your recommendation).

In our specific example, we have already made some recommendations in the previous section so we can simply reinforce what we said there and try to persuade the manager of the language school.

Some nice expressions include the following:

Let’s see what this could look like in practice:

If it is decided to follow my recommendations, the situation of the teachers and students at our school is very likely to improve and overall satisfaction will probably increase due to more efficient work processes so I urge you to consider these ideas.

I try here to make my point again in a condensed form and really put some kind of pressure on the manager without being impolite or too straightforward with what I say.

I also refer back to my suggestions from the last topic paragraph (“more efficient work processes”) and I use some of the useful language that I recommended above…and that’s it.

Everybody likes to talk about themselves, but when (for example) you’re writing about environmental issues, you should be talking about the environment and not about yourself.

YOU

The way word you is used in informal speech ‘You should have seen it!’ ‘if you know what I mean’ is not appropriate in formal writing. At best it sounds chatty and informal; at worst, disrespectful or even offensive. The word you points a finger at the reader. But the readers are not friends of yours, and you have no right to make assumptions about them.

CAE Report Sample 1

Subject:

You have been helping to run a new music club at your college. Now the college principal wants to get more people involved with the club and attract new members. The club organiser has asked you to write a report for the principal outlining what the club currently does, explaining the club’s future plans and suggesting ways of getting more people involved with the music club.

Student’s CAE Report Answer:

RockSun – present situation, future plans and improvement suggestions (title)

The objective of this report is to outline the current condition of the RockSun music club, shed some light on the club’s plans in the near future, and propose novel ways of attracting new visitors.

At present, the activities that the club organises are twofold:

The future of the club looks bleak and some corrective actions are required. The club management, aware of the gravity of the situation, is planning to expand its operations to attract new visitors. In the first place, additional musical courses, including singing lessons by reputable teachers, are planned. Additionally, the club intends to attract better known artists for the weekend concerts.

Suggestions to attract more visitors

The actions planned, which are certainly a step in the right direction, may not be sufficient. What could attract more visitors is reducing food and drink prices as it is one of the most important factors on which any club’s popularity is based. Furthermore, weekly musical quizzes with prizes might appeal to the club’s target customers.

Subject:

You have recently attended a week’s training course and on your return you receive the following note from your boss:

Hope you enjoyed the training modules. We’re compiling a report to help us evaluate our Staff Development programme. Please send me an outline of what you did on the course, which modules were the most useful and your opinion of how colleagues would benefit from attending in the future. Thanks.

Student’s CAE Report Answer:

Report on the Staff Development Programme – a description of the training course carried out to improve the performance of our staff at work.

Organisation of the training modules

I have recently attended the training course organised by the company in order to workers get more information and develop some skills required in this activity.

I have to say that the information given in the course is hugely useful, but it should be scheduled in other date. At this moment, everybody is really busy and workers find it difficult to set aside time to not miss the course.

There is no point arguing that the sessions are too long and dense, what makes even harder to get the most of the training.

I would recommend to divide the content is several shorter sessions according to the main topics to deal with.

Perhaps, not everybody needs to receive the whole information. So, there can be some specific sessions to people involved in that area, whereas who is not working on that subject would only receive a short session just to get some knowledge.

I would like to make the following recommendations:

1.Schedule the training course in a less busy time.

2.Divide the sessions into shorter modules to ease people to attend.

3.Ensure the content is targeted to the people who are meant to attend them.

If these recommendations are implemented, the training programme will be much more successful.

Review, report, proposal и letter в CAE Writing

Review, report, proposal и letter в CAE Writing

CAE Report Writing

What is a CAE Report?

A CAE Report is a writing task which can appear in part 2 of the CAE (C1 Advanced) writing paper. Part 2 of the writing paper consists of three questions from five different types of writing. There is therefore a 60% chance that a report will appear in the exam.

CAE reports are often directed towards bosses or colleagues. For this reason, they should be written in formal or neutral language. It is important to pay attention to the target reader as this is your main indication for the type of language to use. C1 reports often ask students to summarise a situation and often ask for advice on future actions.

Student’s CAE Report Writing With My Comments

Another form of advertising can be found in papers, magazines or as catalog (this is another spelling mistake, ‘catalogue’. You also need to write the indefinite article ‘a’ before the word ‘catalogue’) e.g. for fashion. The positive aspect of this kind of advertisement is that consumers are able to easily avoid them in the case that they aren’t interested, or keep them as a reminder to buy the product or to show it to someone else.

Due to environmental reasons I suggest to keep the consumption of paper down by only giving out advertisements on order instead of handing them out randomly. Otherwise companies should make an effort to produce creative and entertaining commercials and publish them in (you should use the word ‘on’ here instead of ‘in’, this is an example of another collocation. I go into more detail about collocations in my CAE Use of English course) the internet rather than on television, where people watch them without the annoyance that their favourite movie was just interrupted.

Candidates must provide some factual information and make recommendations, but there is space for them to incorporate their own ideas and experiences.

CAE Report: Example Answer (Grade: 4)

Answer:

REPORT – THE CHARITY DAY

INTRODUCTION
The principle aims of this report is to provide information about The Chariety Day which took place on the last Sunday. It was organized to support The Centre for parentless children in Chicago.

WHAT WAS HAPPENING THERE?
The purpose of the event was to raise money for the CPC. Visitors could try numerous activities they might not have a chance to try normally. Activities offered included:

• horseback riding
• curling
• golf
• fencing
and many other.

WHAT WAS SUCCESSFUL?
It made us very happy that all all the people who came could find something they liked. Either adults accompanying their songs and daughters or children just entering an elementary school had a lot of fun. The most favoured activity was definitely curling. Visitors of all ages kept coming and purchasing tickets allowing them to participate in the game.

A group of people willing to donate money to the CPC is also hoeld for to be a great success since The Charity Day’s aim was to support the CPC as much as possible.

RECOMMENDATIONS
Although As far as reaching the day’s target is concerned, I must state that the event was has been the most successful fundraising action at our school this year. However, not everything went well during the day. Plans were not thinking about the possibility of rain and when it began to rain in the morning, it seemed just a few people would turn up and have fun in at the playground of the school. Fortunately, it stopped 20 minutes later and the weather was pleasant for the rest of the day. Therefore, both dry and wet scenarios have to be designed next time

CAE Report: Example Answer (Grade: 4)

Answer:

After the event I organised with the other school representatives, in order to raise funds for charity, it can be said that it was a success. This even made a really good image for the school, even because most of the students came.

The event took place last saturday afternoon, and every member of the school was invited with the family and friends who desires to participate. Being close to the Christhmas period we organised invited people to bring clothes, toys, books and everything they would like to donate to less fortunate people. All those things were then given to me as a charity associati association that help people of the city and even of other countries such as Romania and Brazil.

Af Beyond of this we even sold creative christhmas object that two classes made during a workshop in the last month. For entertaining everybody with something useful two associations and a society and the other one came to present themselves and their activities. After this people were free to make offers and the amazing thing is that most of the participants gave us donated something.

This day shoud to be considered a real success because of the high number of people who came, which is around 500 five hundreds. The positive thing is that every b everyone participated actively and happily in a way I have rarely seen. Many objects and money moneys were donated and this improved the life of many people with little effort.

Concluding I suggest to do this event every year around the Christmas Christhmas period bea because is a way of doing something positive in an easy and happy way. Not only because many people came, but also because we helped many unlike families.

CAE Report: Example Answer (Grade: 3)

Answer:

My job at the wolfcraft company

This report is about my new job as a product designer at the wolfcraft company and about my first six months of work experience.

The working conditions

When I first came here for an interview I got very impressed by the architecture of the main building. This still excites me every day when I go in to get to my room where I have been working from the first day on.

I really like the working atmosphere in here not just because my colleagues are very friendly and we do lots of projects in groups. When started working here six months ago my task was to design little products, for instance screwdrewers. But now I am allowed to work on bigger and more important projects which motivates me to put a lot of effort in my work. For me there is only one problem concerning my job at the wolfcraft company. We have many workers coming here by car so it is really hard to get my car parked if I am not very early in the morning. For me there is no possibility to get here with public transport because in my home town there isn’t even a small train station.

I have already had a training to improve my skills concerning the work with the new computer programme. I think the company should continue offering these training so we can keep up to date.

So all in all, I am very happy with my job here.

Content4There are some minor irrelevances, particularly at the beginning of the report about working conditions and what the building looks like but the target reader would be fully informed about how the candidate feels about this job.

The candidate explains what they have achieved in their job. A problem is described, but it is not completely relevant to the actual job they are doing and is probably not an issue that their manager can resolve. Suggestions are made for further training.Communicative
Achievement2The layout of the report uses the conventions of the task effectively. There is a title, an introductory overview of the report, sub-headings and a conclusion. The register slips occasionally and the second point about car parking is not relevant in a progress report to a manager.

The report is polite, generally formal, and it communicates straightforward ideas which hold the reader’s attention.Organisation2The text is well organised and coherent. The structure is clear and logical, dealing with each point individually and using a variety of cohesive devices and linking words.

There are examples of both external and internal cohesion in the use of headings and referencing within paragraphs to reduce repetition.Language2There is a range of suitable everyday vocabulary used appropriately.

There is a range of simple and some more complex grammatical forms used with control. There are some errors but these do not impede communication.

Answer:

Report on the three-week study and work programme

Introduction
The purpose of this report is to evaluate the effiency of the three week study and work programme. It is based on my personal experience, which I recieved while taking part in the aforementioned programme.

General Findings
The programme as a whole was very engaging and helpful. As it took place in the language environment, many aspects of the English-language, which will not be taught in the class room, could be learned through this programme.

Points worthy of praise
The programme has found many buisnesses, with which they cooperate, therefore I could choose between many companies in which to complete the work part of the programme. While working for a company I learned a substantial amount of phrases and other jargon specific to that field, which makes the programme very useful, should you manage to be employed by a company, which deals with a subject you are interested in.

Issues
No issues can be raised about the work part of the programme. However the English classes that take place in the morning offer no substantial benefit over classes taken in my home country, even if they are taught by a native speaker.

Suggestions
Firstly the organizer of the programme should increase the amount of time, that is spent working during the programme and reduce the amount of classes taken. Moreover the organizer should keep finding more companies with which to cooperate, to make the programme attractive to more people with different intrests.

Content5All content is relevant and the target reader is fully informed.

The candidate addresses the question and evaluates the usefulness of the programme, compares the benefits of the lessons and the work experience, and finally suggests what could be done to improve the programme.

The report is written from a personal perspective, using the candidate’s experience to inform the reader. The recommendation reflects this but also adds a more general suggestion.Communicative
Achievement4The text uses the conventions of report writing to communicate ideas effectively. There is good use of a title and sub-headings, each section is focused on one topic. There is a range of language of evaluation, comparison and suggestion which is used to fulfil all the communicative purposes of the task.

The target reader’s attention is held and both straightforward and more complex ideas are expressed using an appropriate tone and register.Organisation4The text is a well-organised and coherent whole. Good use is made of appropriate organisational patterns for the genre in terms of layout, such as sub-headings and the order of information, with general points being mentioned before specific ones.

A variety of cohesive devices, relative clauses and referencing are used to connect the ideas across and within sentences. The structure of the report overall is clear and logical.Language2There is a range of vocabulary which is used appropriately to describe the programme and how the candidate feels about it. Certain points are paraphrased rather than repeated, showing a flexible approach to language.

There is a range of simple and some complex grammatical forms used with control. The overall tone of the report is quite formal and this is in part achieved by the choice of expressions and the use of passives and modals.

There are some errors, but these do not impede communication.

CAE Report: Model Answer (Grade: 5)

Answer:

The Education System in Italy

The purpose of this report is to give a brief overview of the current education system in Italy, its strengths and weaknesses, and to make some recommendations for the future.

All state schools in Italy work to a broad-based curriculum, in which students study a wide range of subjects until the final year of compulsory education. This gives students a more balanced education than is the case in countries where pupils are obliged to specialize in fewer subjects at an earlier age. In addition, emphasis is placed on continuity of teaching, so that teachers may often work with the same class for several years.

Teachers in Italy are recruited on the basis of national lists, rather than by individual schools. This often means that a teacher from one part of Italy may be forced to accept a job in another region, or lose their place on the waiting list. As a result, teachers often have little personal loyalty to their colleagues or their superiors. In addition, teachers are paid according to a national scale rather than on merit, and once in place are practically impossible to remove. This means that teachers have little motivation to do more than the bare minimum required or develop professionally. Many teachers, indeed, have second jobs which they perform after school hours.

In the future I would like to see more autonomy given to individual schools over recruitment. In this way, a head teacher would be able to select the teachers according to the real needs of the institution. They should also have the power to sanction and ultimately remove unsatisfactory teachers and reward merit
